POOLgroup has been involved as a technical partner at Deutsche Post’s – now DHL Group – annual general meeting since its flotation in 2001. This is one of the POOLcrew’s longest-standing customer relationships.
Requirements & aim
The Annual General Meeting is the central body for DHL Group shareholders and reflects the company’s values – reliability, efficiency, and progress – at the highest organizational and technical level. The event is not only a legal obligation, but also a symbol of transparency and dialog with shareholders worldwide.
Challenge
The Annual General Meeting rotates between venues – from Cologne’s KölnArena to Frankfurt’s Jahrhunderthalle, Bochum’s Ruhrkongress center, and, since 2018, the World Conference Center Bonn.
Each venue always brings with it new challenges for logistics, infrastructure, and technology.
Planning is carried out within a very tight schedule: Three days for build, two nights for installation, one day for technical rehearsals – meticulously prepared, precisely executed.
Another distinctive feature is the redundant power and technology system: All critical systems have full backup, including an independent emergency power supply consisting of three generators – each rated at 1.25 MVA, and a dedicated 10 kV transformer integrated into the venue’s power grid.
In honor of the 30th anniversary in 2025, a spectacular showpiece was included in the opening speech for first time: Three industrial robots weighing up to 1.4 tons were part of the show. This meant that the POOLcrew had to develop a supporting structure and transport plan specially adapted to meet spatial limitations, including precise calculations for access, load distribution, and lifting – implemented with the highest technical accuracy.
Staging & services
For the DHL Group Annual General Meeting, the POOLcrew is responsible for technical planning and complete implementation – from the initial sketches to hand over to the event director.
The services provided include:
- Technical planning for electrical, conference, and broadcast technology as well as IT
- Graphics and technical planning for set and stage construction
- Event and program management
- Visualizations and 3D room modeling
- Coordinating build and dismantling as well as auditing trade invoices
- Liaising with venue, security services, and power suppliers
At an early stage, POOLgroup developed sustainable solutions for holding AGMs. In the 2000s, a joint AGM plan involving Deutsche Telekom, Lufthansa and Postbank was developed to share resources and reduce carbon emissions by using the same infrastructure – an approach that is still regarded today as best practice in sustainable event management for financial communications.
Experience
For participants, the emphasis was on precision with no effect or second of the meeting left to chance. Technical execution ran flawlessly, with the running order executed perfectly behind the scenes. In 2025, the robot showpiece delivered a surprising moment that impressively underlined the group’s innovative power.
